President

Job Description

Responsibilities include overseeing pool operations, schedule and lead meetings, resolve incidents, the effective management of all pool operations and all matters pertaining to the health and safety of membership.

Examples of Responsibilities

  • Schedule and conduct meetings on a quarterly basis as well as the Annual Meeting.
  • Review and oversee the financial reports.
  • Report to the general pool population the financial condition of the swim club.
  • Oversee and review the operations of the pool and spa.
  • Work with the membership committee to gain and maintain enough members to operate the pool and spa.
  • Review with Vice President all relevant pool matters and help to maintain an accurate website to disseminate information.
  • Facilitate board member communications on any issues that need to be addressed.
  • Communicate with all members on the status of the pool and any issues that arise.

Vice President

Job Description

  • Assist the President as needed
  • Oversee the BLSC website
  • Look for ways to increase membership and raise funds

Examples of Responsibilities

  • Help the president with questions that arise
  • Make updates to the website
  • Help coordinate volunteers to raise funds
  • Help coordinate volunteers for pool work projects

Pool Operations

Job Description

Responsibilities include enforcing policies and procedures, ensuring efficient and effective operation of pool facility which includes scheduling and communicating with pool maintenance and janitorial contractors. Limited pool maintenance including weekly/bi-weekly pool cleaning and chemical/equipment monitoring as needed.

Examples of Responsibilities

  • Assure all contractors report for services as scheduled.
  • Maintain and clean pool and spa on off days of pool maintenance contractor as needed.
  • Check chemical levels of pool and spa. Add chlorine as needed.
  • Handle maintenance issues with contractors.
  • Change light bulbs as needed.
  • Review monthly pool invoices for payment.
  • Order pool supplies as needed.
  • Meet with County Health Inspector for annual pool inspection and follow up on any recommendations.
  • Order and replace rail paddings as needed.
  • Order and replace safety signs as needed.
  • Participate in annual budget process.
  • Attend Blacklake Swim Club Board meetings.
  • Other duties as deemed necessary or as required to maintain a safe and clean pool facility.

Secretary

Job Description

Responsibilities include attending and taking minutes for all Blacklake Swim Club Board Meetings and maintaining the bulletin board at the pool.

Examples of Responsibilities

  • After the Blacklake Swim Club Annual Meeting, reserve the Community Room for the meetings to be held in March, May, July, September, November of that calendar year. In addition, also reserve for the next year’s annual meeting in January.
  • Take minutes of all BLSC regular and special meetings, as well as the Annual Meeting.
  • After each meeting, compose the minutes and distribute them to Board Members for their feedback. If necessary, make any corrections and provide Board Members the final copy.
  • Keep copies of all minutes.
  • Update and maintain the bulletin board at the pool.
  • Participate in the annual budget process.
  • Attend all Board meetings.
  • Other duties as deemed necessary or as required for the continued operation of the Blacklake Swim Club

Membership Director

Job Description

The ideal BLSC Membership Director is a BLSC member that truly enjoys the pool, appreciates the benefits of swimming and is enthusiastic about their role in helping individuals and families join Blacklake Swim Club! The BLSC Membership Director is typically the first point of contact for people interested in joining BLSC. Membership Directors are also “Good Will Ambassadors’” throughout the year.

The primary role of the Membership Director is to facilitate the complete registration of new and existing members. You will need to keep an updated list of all current members and their key fob information. You are the primary point of contact for registrations, questions, and member compliance with rules and safety. You are expected to respond to requests for information and details on registration promptly, preferably within 24 hours, and enthusiastically!

Examples of Responsibilities

  • Registration: Check registration status.  A complete registration includes registration form, waiver and payment. 
  • Key Fobs: As Membership Director, you are responsible for making sure key fobs are available and distributed to new members.  You will also help to maintain an accurate list of membership, key fob numbers, and date of joining/renewing.  
  • Board Meetings, Communication, and Work Parties: Plan to attend six Board Meetings per year and be prepared to provide accurate, up to date member lists. The Membership Director will need to keep up regular communications with Pool Operations regarding water quality and related issues that affect our members. Board members also participate in work parties including painting, cleaning, and organizing.
  • Pool Socials, Fundraising, and New Members: The Membership Director plays a key role in managing and directing events throughout the year. (Historically there were  three to four events. We look forward being able to do events again hopefully soon.) Pool socials drive fundraising, encourage member engagement, and increase membership!

Treasurer

Job Description

Responsibilities include maintaining the financial reports for the pool.

Examples of Responsibilities

  • Maintain an accurate annual budget and list of expenses.
  • Keep track of incoming payments via Stripe and checks.
  • Pay all pool related bills as needed.
  • Prepare the annual statement of information for the California Secretary of State.
  • Prepare and file annual federal and state tax returns.
  • Help in the decision making process for what repairs are necessary and upgrades possible.
  • Attend all Board meetings and present the current financial report.  Prepare the annual budget report.
  • Other duties as deemed necessary or as required for the continued operation of the Blacklake Swim Club.
